POSITION SUMMARY:
The AE oversees the day to day operations of MMAR.  In addition, this person is responsible for, purchasing, budget preparation assistance, and membership support.
SALARY RANGE (commensurate with experience):
$40,000-$50,000/year
ESSENTIAL FUNCTIONS:
  • Oversees all administrative processes and systems in coordination with the Board of Directors (Board)
  • Assists in planning, developing and evaluating MMAR’s goals, programs, policies and procedures
  • Oversees membership database administration and coordination of records with the Division of Real Estate, state association, and National Association
  • Ensures accuracy of the membership process including admissions, maintenance of records and employees associated with the process
  • Ensures data integrity within MMAR management database, membership application processing and on-boarding
  • Ensures maximum opportunity to build strong bonds with the organization and its members
  • Assists Board in preparation, administration and implementation of the budget
  • Supports MMAR’s efforts to adhere to and report NAR’s Core Standards
  • Supervises and approves purchases of office equipment, furniture and supplies in coordination with the Board
  • Provides project management support for membership recruitment, retention and engagement activities
CLERICAL
  • Manage files and records.
  • Conduct bookkeeping tasks (Quickbooks).
  • Knowledge of email system.
  • Design forms and handle overall general office procedures.
MEETINGS
  • Communicates with membership via broadcast e-mail, education updates and other member emails.
  • Designs forms, flyers and notices for various meetings and events as requested and needed.
  • Assists in editing, and maintaining MMAR website.
  • Maintains a calendar of all meetings and classes; coordinates with Board calendar.
  • Assist Board in formulating agendas and organizing membership meetings.
CLASSES
  • Coordinates with Board and education chair in preparation for class attendance including all aspects of registration, collecting monies, registering attendees and preparation of classroom on the day of the event.
  • Tracks continuing education class and seminar registrations and create class rosters and CE certificate, and record attendance in National REALTORS® Database System (NRDS).
  • Maintains attendance verification for education classes and programs and provides continuing education credit hour forms for attendees.
  • Participates in orientation, working with the Board and education chair as requested and needed.
  • Attends MMAR general membership meetings and other special MMAR events, assisting in set up, preparation and registration of the events.
COMMITTEE AND BOARD OF DIRECTORS
  • Works directly with Education Committee as staff liaison following through with class instructor detail.
  • Assists in RPAC fund raising drive(s), working with chair and government affairs director, as needed.
  • Provides secretarial functions for taskforces and committees to include recording of minutes and notes, preparation of sign in sheets and agendas, notification of meetings and other duties as instructed by Board and education chair.
EVENTS
  • Oversee organizations events at the direction of the Board
  • Assist with fundraiser and community events such as Big Chili Cook-off, Goldilocks, Board Inauguration, Christmas Party, and RAAD events
MISCELLANEOUS
  • Answer phone calls, handling situation whenever possible and/or forwarding to proper party.
  • Order office supplies as needed, coordinating with Board.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • All other duties as assigned by Board.
QUALIFICATIONS:
Knowledge, skills, and abilities
  • Skilled in organizational development, management, budget and resource development.
  • Excellent people skills.
  • Flexible and able to multitask.
  • Computer, data base and Quickbook knowledge.
  • Self-starter.
  • Some public speaking required.
